How do I ask a parent to pay for tutoring lessons?

The money conversation is the one tutors lose by improvising - usually by not having it. The fix is arithmetic first, then a short message, then a policy that makes the next conversation unnecessary.

Why it got awkward

The three-sentence message

  1. Sentence one, the fact: 'Quick update - through the end of October, Layla has had twelve sessions, and the total is 216 dollars, of which 54 is still open.'
  2. Sentence two, the door: 'Happy to keep the usual rhythm - bank transfer or cash, whatever is easier.'
  3. Sentence three, the quiet close: 'I'll send a short total at the end of each month so it never piles up.'
  4. Send it the same day you write it. Delay is where the message curdles into an apology you did not owe.

The policy that prevents round two

What not to do

Know the exact number before you write. 'About fifty' invites a debate; '54' ends it.

The free tool for this

There is no calculator that answers this one honestly, so here is the free set: eight calculators for rates, quotes, invoices, splits, prices and fees. They run in the page and send nothing anywhere.

If you would rather not build it yourself

Tutor OS does the brave part for you: every session logged with its fee, every student with a live owed total, and a monthly summary you can read numbers off instead of reconstructing them. Tutor OS is $19. See it on the shop, and there is a plain page about it here: what it holds.

Questions people actually ask

What if the parent disputes the count?

This is what a same-day session log is for: dates and minutes you can both read. A log built after the dispute starts is an argument; one kept all along is a receipt.

Should I stop lessons over an unpaid balance?

Rarely, and never as a surprise. A stated policy - a pause after two unpaid months, for example - applied evenly is fair; an improvised freeze in a bad week is a scene.
